Minutes templates

Company AI minutes holds your company's minutes templates. A template decides which sections every meeting's AI minutes have and how each one is written. Room owners pick a template for their room; minutes admins make them.

Company owners and admins can always manage templates. Anyone else must be added as a minutes admin.

How to create a template with the agent​

  1. Open Company settings › Company AI minutes.
  2. Under Create a template with the agent, describe the meeting and what its minutes should capture — or select one of the Try suggestions.
  3. Select Create template. The agent drafts the template; this uses agent credits.
  4. Review the Live preview. To change it, ask the agent (for example shorter, and add risks) and select Apply.
  5. Select Publish to let room owners pick it, or Save draft to keep working.

How to build a template yourself​

  1. Select New template.
  2. Enter a Template name and what meetings it is for.
  3. Add sections from the library and arrange them.
  4. Select Publish (or Save draft).

Drafts are visible only to minutes admins. Published templates can be picked by every room owner.

How to set the company default​

  1. On a template card, select ⋯.
  2. Choose Make the company default.

New rooms use Standard until you set a default. The same menu offers Edit, Duplicate, Reset to original (for built-in templates), Delete and Archive.

How to write a new section​

  1. Under Section library, select Write a new section.
  2. Enter the section name, for example Client concerns, and one line on what it holds.
  3. Under What should the agent write here?, be specific about what counts and what to leave out.
  4. Choose how it is Shown as: List, Checklist, Table, Numbers, Q&A or Paragraph.
  5. Select Save section.

A section's shape is fixed once it exists, so minutes already written with it keep rendering.

How to appoint minutes admins​

  1. Under Who can manage minutes templates, select Manage.
  2. Select Add someone and pick people.
  3. Set each person's pill to all (edit every template) or own (only templates they made).
  4. Select Done.
