Boards

Boards is where an agentic room plans its work. Tasks are placed on a board, a milestone or a sprint and move column by column through the room's own statuses. The room chooses its method — Boards, Milestones or Sprints — and the app takes that name everywhere: in the Room Apps picker, the dock, the Recent strip and the hub. Owners, Editors, Users and Guests can open it from the picker; what each person can change follows their room role.

Choose how the room plans​

The method decides the words and the default view. The columns, tasks and lifecycle stay the same, so a room can switch without losing anything.

  1. Open the room's Settings and select Tasks.
  2. Under How this room works, pick Boards, Milestones or Sprints.

Choosing Milestones or Sprints makes the room a project, so it opens on who is carrying what. Choosing Boards keeps it a room that opens on the meeting. Nothing is deleted either way — the board, the columns and every task stay where they are. See Project rooms.

How to open Boards​

  1. In the room, open the Room Apps picker.
  2. Under the Tasks band (called Project management in a project room), select Boards, Milestones or Sprints.

Boards also sits in the room's dock by default. See Apps dock and Recent.

How to read the hub​

The hub lists every board, milestone or sprint in the room and draws them three ways. Switch with the tabs at the top:

  • Timeline — dated, overlapping work on a zoomable timeline centred on today. Drag the end of a bar to change its end date.
  • Cadence — velocity across finished sprints and a burn-up for the current one, with Current and Next called out.
  • Cards — undated boards sorted by last activity, with open tasks, overdue counts and who is on each.

Select Export to Excel to download the hub as a spreadsheet.

How to create a board, milestone or sprint​

  1. Open Boards in the room.
  2. Select New board (in a Milestones room, New milestone; in a Sprints room, New sprint).
  3. Name it and save. The first one you create becomes the room's current board.

How to work on a board​

  1. Open a board, milestone or sprint from the hub.
  2. Type into Add task... at the bottom of a column and select Add to create a task in that status.
  3. Drag a card to another column to change the task's status everywhere it appears.
  4. Use Show backlog to open the backlog beside the board, and Add task to backlog... to park unscheduled work.
  5. Use All users and All meetings to filter the board to one person or to the tasks that came out of one meeting.

How to start and complete a sprint or milestone​

  1. Select Start sprint (or Start milestone, Open board).
  2. Set the duration — Daily, Current Month, Next Month, No Time or Custom — and the Start date and Start time, then confirm.
  3. When the work is done, select Complete sprint (or Complete milestone, Close board).
  4. Under What happens next, choose where open items go with Move open items to — the next sprint, the Backlog or a new one — and optionally Create a retrospective.
  5. Confirm. The completed sprint is locked.

Each board can carry its own rules: a cap on Tasks in progress at once, Needs sign-off from named people before it finishes, gates such as Every task needs an owner to start, and Create the next one on close.

What the AI project manager does​

After a recorded meeting, the agent reads the minutes against the board and proposes changes — new tasks, status changes, due dates, tasks to complete — each waiting for your accept. When a meeting plans new work it can draft a whole sprint, and it can suggest closing the current one. Boards themselves use no agent credits; proposals from a recorded meeting do. See Agent credits.
