Forms
Forms are how people send work into an agentic room. Every form fills a table in the room, so each submission becomes a typed, validated row — with attachments stored against it and the submitter recorded — and can start an automation or an agent workflow case. A room's Forms list includes forms built here and forms shared in from other rooms. Everyone in the room can open Forms from the Room Apps picker under the Records band; creating one follows the room's Tables & forms setting.
How to create a form
- Open the Room Apps picker and select Forms.
- Select New form (or Build a form when the room has none yet).
- Name the form and its table. A form is always made with the table it fills — the table holds the answers, the form is how people send them in.
- Choose Who can submit, mark questions Required, and decide which columns to Ask for it on the form. A column such as the requester can be Filled in from their sign-in, so it cannot be somebody else.
- Select Create form.
Conditions on questions can be set once the form exists — open it after the table is built. You can also add a form to an existing table from Tables: select + › Forms. See Tables.
How to fill a form
- In Forms, find the form. Forms waiting on you show Due now.
- Select Fill, complete the questions and submit.
The submission lands as a row in the form's table straight away.
How to share a form
- In Forms, open the form's menu.
- Choose Copy public link to share it with anyone, or Share into rooms to add it to other rooms' Forms lists.
Once a form is shared into a room, it stays in that room's list until someone selects Remove from this room.
How to edit a form or open its table
From the form's menu (for people who can edit it):
- Edit form — change its questions, who can fill it, how often and when it closes.
- Open the table — see every submission as rows.
When a form starts an agent workflow, the case is created and the first approver is notified at the same moment. If changes are requested, the same form returns prefilled. See Agent workflows.
