Approvals
Approvals turns "can you sign this off?" into a request with a decision on record. Approvals can relate to a task, chat message, file, note, meeting or whiteboard, and to table rows through an approval column. Everyone in the room can request approval by default; Owners and Editors set who approves and how.
How to request an approval
- Open the menu on the item that needs sign-off — a chat message, file, task, note, meeting or whiteboard.
- Select Request approval.
- The request is sent to the room's approvers and appears in Approvals, linked to the item.
For a table row, use the row's approval column — see Tables.

If the room has no default approvers, the request goes to the room owner.
How to decide on a request
- Open the room, select Apps and choose Approvals (in the People & flow band).
- Find the request.
- Select Approve or Reject, or Review to send it back with a Review note describing what needs to change.
The request then shows Approved, Rejected or Needs Review, with who decided. Whoever asked can Take back a request while it is still pending.
How to filter approvals
Use All, Pending, Approved, Rejected and Review at the top of the list.
How to set the room's approval rules
- In Approvals, select the settings icon (Approval settings for this room). This opens Room settings › Approvals.
- Under Who approves, choose the room's default approvers.
- Under How they decide, choose Any one of them, All of them, A set number or One after another.
- Under Who can ask for one, choose Everyone or Editors and above.
- Optionally switch on Remind whoever is holding it a number of hours after it was asked.
