Meeting bot

When a meeting happens on another platform, the room's agent can join it as a bot. The bot joins Google Meet, Zoom or Microsoft Teams calls, records them, and brings the recording, the transcript and the AI minutes back into the agentic room the meeting belongs to. Room owners configure the platform, schedule the bot and stop its recording.

note

The recording bot is a company setting. When it is on, room owners see Bot as a meeting type and the Teams, Meet and Zoom options in the new-room dialog.

How to set a room to use the bot

  1. Open the room and select ⋯ › Room settings › Meeting.
  2. Next to Meeting type, select Bot.
  3. In the Configure meeting type – agentic room window, select Microsoft Teams, Google Meet or Zoom.
  4. Paste the permanent meeting URL. The room recognises the platform from the link.
  5. Select Save. The room's meeting tile now shows the platform's name.

When creating a room, you can also select ⋯ next to Online / In-person to configure the bot and enter the meeting URL (Teams, Zoom or Meet).

How to start the bot

Select Join in a bot room to open the bot options:

  • Join with bot — you and the bot join the meeting together.
  • Join now — you join on your own.
  • Send bot now — the bot joins a meeting that is already under way.
  • Schedule for later — the bot is booked to join a future meeting.

To book a bot for a specific meeting, schedule it on the room calendar as Other Online Meetings with its meeting link; the bot joins at that time.

Follow the bot

The room shows each stage as it happens: Initializing, Joining, Joined, Recording and Completed. One bot can be active in a room at a time. The room owner can select Stop recording whenever the useful part is over; the bot leaves and uploads the recording to the room.

After the call, the recording is filed in the room, transcribed in the room's language and written up as AI minutes with action items assigned as tasks.

info

Bot recordings use meeting credits, the same as online and in-person meetings. See Credit types.
