The agent works within your rules
Policies are what the AI office is held to. Each agent run is given the policies that apply to the person it is working for — resolved through the same reporting lines and departments the app shows.

Knows which policies apply
Before a run starts, the agent receives the policies that cover this person: company-wide ones, their departments’ and those linked to anyone above them in the reporting line.

Reads before it answers
When a request touches leave, expenses, security, conduct or working hours, the agent opens the full text of the relevant policy first, and each policy it consults shows as a step in the run.

Stays within each person’s scope
Applicability is checked again every time a policy is fetched, so the agent reads exactly the policies that apply to the person it is working for.

Company policies live in company settings beside goals, memory and workflows — the things every agent in the office works within.

A department policy reaches every member of that department, even one with no head. Mark a policy All employees and it applies to the whole company.
AI Agent access
Switch it on per policy. The text is extracted from the file and summarised, so the agent can tell which policy governs a question.
Visible to reportees
Members open Company policies from the company menu and see the ones shared with them. Visibility and agent access are separate switches.
Policy admins
An owner or admin appoints policy admins who run the whole library — add, edit, re-scope, replace, delete — without being company admins.
Set it once for the company, adjust it per person
Beside the policy library, company settings hold the controls that apply to every member and every room.
Require two-factor authentication
One switch requires 2FA for all employees. Each person picks email code, authenticator app or passkey in their own Security settings.
Apps & Integrations
Admins choose which integrations members may connect — Google Calendar, Outlook Calendar, Zoho Calendar, Google Drive, OneDrive and Jira. Turning one off stops new connections.
Uploads and screen sharing
Turn off uploads or screen sharing for the company and every member is restricted; then allow them back person by person.
Who adds people to rooms
Owner only, or owner and editors, for every room in the company — a room owner can still choose differently for their own room.

Require 2FA for everyone, allow only the calendar and drive integrations the company uses, and restrict uploads where needed.

A policy applies to a person when it is marked All employees, when it is linked to a department they belong to, or when it is linked to them or to any reporting head above them. The app and the agent use the same resolution.
Yes. Visible to reportees and AI Agent access are independent switches on each policy, so a policy can guide the agent without appearing in members’ lists, or the other way round.
Company owners and admins, plus any member an owner or admin appoints as a policy admin. Policy admins manage every policy in the company but cannot appoint other policy admins.
Replace the file on the existing policy and its links stay as they are. With AI Agent access on, the new text is prepared for the agent again.
Yes. Owners and admins turn on each integration from Apps & Integrations. Disabling one stops new connections only — accounts members already connected keep working until they remove them.
