Project time, read as budget, capacity and margin

In a project room, TimeTrack reads one ledger in the unit the project plans in — hours against a budget on Milestones, points against capacity on Sprints. Approvals, freezing and billing carry every hour from the task to the invoice, wherever your company has TimeTrack turned on.

AI project manager

The AI project manager reads the burn and logs what you ask

The agent works from the same ledger as the project, and the room’s visibility rule is checked again on every read it makes.

  1. 01

Says how a milestone is burning

For anyone who can already see the room’s time, the agent reads a milestone’s logged hours, remaining estimate, forecast at completion and the budget when one is set.

  2. 02

    Logs time on request

Ask and the agent writes an entry for you, on the task you name. Timer-only rooms, frozen milestones and sprints, and dates outside the editable window are respected.

  3. 03

Leaves the numbers people are judged on to the owner

Estimates, budgets, rates and approvals stay with the room owner and their approval queue. The agent reads them and keeps to them.

Project TimeTrack

Two methods, one ledger, the right question for each

The rows underneath are the same in every project. What changes is the report worth drawing — spend against budget for Milestones, commitment against capacity for Sprints.

Hours against budget

Each milestone carries a budget in hours with a warning line — 80% until you move it — and an optional hard stop that ends logging at 100%.

Forecast at completion

Logged hours plus open estimates, with tasks still unestimated counted at the milestone’s own median — so the report reads over or spare before the date arrives.

Revenue, rate and margin

With billing on, each milestone shows revenue, an effective rate per logged hour and, for company owners and admins, margin from each person’s cost rate.

Points against capacity

Committed points sit against capacity taken from each person’s working calendar and frozen at sprint start, with the commitment ratio, hours per point and meeting drag.

Calibration you apply

After three finished sprints the room is told what a point really costs here. Apply it and future capacity reads the new ratio; finished sprints keep the one they were planned with.

Across the reporting line

At company level, every tracked room and every person across them, grouped by reporting head. Heads see their reportees; company owners and admins see everyone.

Logged to billed

Every hour climbs the same ladder to the invoice

A milestone’s or sprint’s time moves from open to frozen, approved, locked and billed, and each step settles a little more of the record.

  • Approved by the owner

A host’s change applies at once and is marked provisional, with the old figure beside it, and joins billable totals when the owner approves it.

  • Frozen

Freezing ends new logging on a milestone or sprint while entries already on it stay correctable. Running clocks are stopped and their time is kept.

  • Locked

A locked period is closed. A later correction writes an adjustment in the current period, so history holds and a mistake is still fixable.

  • Billed

Where hours must be approved before billing, the invoice-ready export carries approved hours and states how many were left out and why.

Flow through the room

From the estimate to the invoice

Project time is a reading of work already happening in the room, so most of it arrives without anyone stopping to record it.

Questions

Project TimeTrack, answered

In project rooms, wherever your company has TimeTrack turned on. The room owner completes a short setup, and the unit follows the project: hours on Milestones, points on Sprints.

If you choose. Every budget has a warning threshold, 80% by default, and an optional hard stop at 100%. Left open, time keeps being recorded and the overrun shows in the forecast.

Finished sprints keep the ratio they were planned with, so every chart already drawn keeps its shape. The new point value applies to future capacity, and only once the owner taps Apply.

Company owners and admins. Billing and Rates appear for people who can see the room’s time once billing is on, and cost rates are drawn and saved only for company owners and admins.

They are all kept. Points are minutes read at the ratio each sprint was planned with, so the same ledger reads as hours the moment the project switches.
