Create tasks

Tasks live in a room, grouped into lists. You can type them in one by one, create them from the Tasks tab in the left panel, or describe the work in a sentence and let the AI Task Generator draft the whole list for you to review. Room Owners create lists; Owners, Editors and Users add tasks to them.

How to add a task in a room

  1. Open the room and select Tasks in the dock or the apps picker.
  2. Under the list you want, select New task.
  3. Type the task and press Enter. Press Enter again to add the next one.
  4. Select the task's assignee to choose who owns it, and its date to set the due date.

Every task gets a number — #1, #2 and so on — the moment it is created. The number never changes. To hide numbers, turn off Task numbering in Room settings › Tasks.

How to create a list

  1. In the room's Tasks, select New list in the top bar.
  2. Enter the list name in Enter list name and select Create.

Use Reorder lists in the top bar to change the order of your lists. In a project room, lists are your milestones or sprints — see Project rooms.

How to create a task from the Tasks tab

  1. In the left panel, open the Tasks tab.
  2. Select New task.
  3. Choose the room the task belongs to, or Private tasks for a task only you can see.
  4. The room's Tasks opens. Add the task as above.

How to generate tasks with AI

  1. In the room's Tasks, open the AI Task Generator.
  2. Describe the work — for example, "Create an onboarding plan with 5 tasks for a new user".
  3. Select Generate.
  4. Review the list under AI Generated Tasks - Preview. Edit, remove or add tasks as needed.
  5. Save the tasks to add them to the room, or select Cancel to discard them.
note

The AI Task Generator is available to room Owners when your company has generative AI turned on. Generating tasks uses agent credits.

Other ways tasks arrive

  • From meetings — action items in a meeting's AI minutes become tasks in a list for that meeting. See Tasks from meetings.
  • From the agent — ask the AI project manager in the room's agent bar and it can create tasks for you.
  • From Jira — import a Jira project's issues. See Export and Jira.
  • Subtasks — break a task into smaller ones from its options or its details. See Task details.
