Milestones
Set a project room to Milestones and every piece of the plan becomes a dated target. Each milestone has a start, an end and its own tasks, with done and open counts on it. Undated work waits in Not scheduled until it is planned into one. Milestones open on the Boards hub Timeline, and by default a milestone cannot be completed while any of its tasks is still open.
Room Owners and Editors create milestones, set their dates and change their rules. Everyone in the room works the tasks inside them.
How milestones behave by default
A new milestone starts with these rules. You can change them for one milestone or for the whole room.
| Rule | Milestone default |
|---|---|
| Unfinished work when it ends | Refuse — it cannot be completed while a task is open |
| Complete when its last task is done | Off |
| Adding work after it starts | Open |
How to create a milestone
- Open the project room and select Milestones in the dock.
- Select New milestone.
- Enter the milestone name (for example, Beta release).
- Choose how long it runs — Daily, 2 Days, 1 Week, 2 Weeks, 4 Weeks, Current Month, Next Month, Custom, or No Time Limit — and set the Start date and Start time.
- Optionally, under Automation, turn on Don't start before the start date, pick another milestone under Start after another milestone, or turn on Complete automatically at end time.
- Select Create milestone.
Then move tasks into it: on any task, select Move to milestone from its options, or drag cards in from Not scheduled on the board.
The AI project manager can draft a milestone for you. When a recorded meeting plans new work, it proposes a milestone with its name, dates and tasks on a card you can edit before it is created.
How to set a milestone's rules
- Open the milestone on the board and select its options (⋯).
- Select Milestone configuration.
- Set the rules in each group. The panel shows, on the right, what the milestone can and cannot do right now.
- Timeline — Do not start before the start date.
- Finishing — what happens to unfinished work (Move it on, Ask or Refuse), whether to Complete the milestone when its last task is done, whether to Freeze tasks when the milestone is completed, and who it Needs sign-off from.
- Scope — Adding work after it starts (Open, Warn or To backlog), Every task needs an owner to start, Every task needs an end date to start, and Tasks in progress at once.
- Order — make it wait on another milestone. See below.
To change the starting rules for every new milestone in the room, open Room settings › Milestones › Milestone defaults. A milestone that has set a rule itself keeps it.
How to make a milestone wait on another
- Open Milestone configuration for the milestone that should wait.
- Under Order, select Select milestone and choose the one it depends on.
- Select the relation to cycle through start after (it starts after the other finishes), start with (it starts once the other has started) and finish after (it finishes only after the other finishes).
- Select Must or Should to switch between a blocking link and an advisory one.
A blocking link refuses the action and says why — for example, "Waiting for Beta release to finish". An advisory link is shown and refuses nothing. On the Timeline, links are drawn as connectors.
How to complete a milestone
- Open the milestone's options (⋯) and select Complete milestone.
- If anyone is named under Needs sign-off from, they are asked first.
With the default Refuse rule, every task must be finished first. To leave a task out of the count, choose Drop this task in the task's options.
Where your company has TimeTrack on, milestones read in hours — logged against a budget, with a forecast at completion. See Project TimeTrack.
