Why booking calendars live in a room
Every booking calendar belongs to an agentic room, so a booking is more than a calendar entry. It becomes a scheduled meeting in the room. That room already holds the people, the history and the AI project manager. This page explains what that connection gives you. For the steps, see Create an appointment calendar.
What happens after someone books
- Booked: the booker picks an open slot and confirms. If the calendar needs approval, they send a request instead.
- Scheduled: the booking becomes a meeting in the room's Schedules for the invitees and the booker. Everyone gets the usual reminders.
- Met: the meeting is held online in the room, or at an address from the room's Locations.
- Captured: when recording and AI minutes are on for the room, the meeting is recorded and transcribed. AI minutes and tasks follow.
Where it helps
- Sales demos: a 30-minute calendar with the account executive and a solutions engineer. It only offers times when both are free.
- Client reviews: approve each booking before it is confirmed, and limit every client to one booking at a time with One only.
- Hiring panels: candidates pick a slot when the whole panel is free, and can reschedule from their booking link.
